Experience Travel and Tour ("ETT", "we", "us", or "our") is a Ghana-based Destination Management Company. This policy explains what personal information we collect through experienceghana.travel (the "Site"), why we collect it, who we share it with, and the choices you have. By using the Site or booking a tour with us, you agree to the practices described here.
1. Information we collect
We collect information you give us directly, including:
- Booking and checkout details: full name, email address, phone number, nationality, and — for each traveller on a booking — passport number and any dietary or accessibility notes you choose to share.
- Airport transfer details: flight number, pickup and drop-off addresses (including the map coordinates when you select an address from the Google-powered suggestions), passenger and luggage counts, and your choice of vehicle.
- Custom trip enquiries: name, contact details, nationality, travel dates, party size, accommodation preferences, and the interests and additional notes you tell us about.
- Account sign-in: your email address, used to send you a one-time sign-in link (we never ask you to create or enter a password).
- Newsletter sign-up: your email address, only if you opt in.
- Blog comments: the name and comment text you submit. Comments are reviewed before they appear publicly.
- Payment information: we do not collect or store your full card or mobile money details ourselves — these are entered directly with our payment processors (see "Payment processing" below).
We also use a small number of strictly functional cookies to keep you signed in to your account or the staff dashboard. We do not currently use analytics, advertising, or tracking cookies on the Site.
2. How we use your information
- To create, hold, and confirm your booking, and to send confirmation and reminder emails.
- To arrange and carry out the service you booked — for example, sharing a traveller's flight number and pickup location with the driver assigned to an airport transfer.
- To respond to custom trip enquiries and tailor an itinerary to what you've told us.
- To send you a sign-in link when you request one, and to keep your account session secure.
- To send newsletter updates, only if you've opted in — you can unsubscribe at any time.
- To moderate and publish blog comments.
- To detect and prevent fraud, and to meet our legal, accounting, and tax obligations.
3. Payment processing
Payments are handled directly by our payment processors — Stripe for international card payments, and JuniPay for Ghana mobile money and card payments. When you pay, your card or mobile money details go straight to them, not to us; we only receive confirmation that a payment succeeded and the amount charged. Each processor handles your payment details under its own privacy policy.
4. Who we share information with
We share personal information only where it's needed to run the Site and deliver your booking:
- Payment processors (Stripe, JuniPay) — to process your payment, as described above.
- Email delivery (Resend) — to send booking confirmations, sign-in links, and other transactional emails on our behalf.
- Google Maps / Places — when you type an address into a location field, that text is sent to Google to generate address suggestions, under Google's own privacy policy.
- WhatsApp — if you choose to message us via the WhatsApp chat widget or link, your message is sent through WhatsApp/Meta and is subject to their privacy policy, not ours.
- Our own staff and drivers — to organize and carry out the tour or transfer you booked.
We do not sell your personal information to anyone.
5. How we protect your information
We use industry-standard safeguards — encrypted connections (HTTPS) across the Site, hashed and signed session tokens for account and staff logins, and access to booking data restricted to staff who need it to do their jobs. No method of transmission or storage is completely secure, but we work to protect your information using measures appropriate to its sensitivity.
6. Data retention
We keep booking and traveller records for as long as needed to provide our services and to meet accounting, tax, and legal requirements. Newsletter email addresses are kept until you unsubscribe. Custom trip enquiries and blog comments are kept for our operational records unless you ask us to delete them.
7. Your rights
You can ask us to access, correct, or delete the personal information we hold about you, and you can unsubscribe from marketing emails at any time using the link in those emails or by contacting us directly. If you are in Ghana, these rights are provided under the Data Protection Act, 2012 (Act 843), and you may also contact Ghana's Data Protection Commission. If you are visiting from the European Union, UK, or elsewhere with its own data protection law, we will honour equivalent rights available to you under that law where it applies to our processing of your information.
8. Children's privacy
The Site is not directed at children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has given us personal information, please contact us and we will delete it.
9. Links to other websites
The Site may link to third-party websites (for example, Google Maps or WhatsApp). We aren't responsible for the privacy practices of those sites — please review their own privacy policies before sharing information with them.
10. Changes to this policy
We may update this policy from time to time — for example, if we add a new feature that changes what information we collect. We'll update the "Last updated" date above when we do. Continued use of the Site after a change means you accept the updated policy.
11. Contact us
If you have questions about this policy or want to exercise any of the rights above, contact us at bookings@experienceghana.travel or via WhatsApp.
